Build one intake record before checking the numbers
An invoice can arrive by email, portal, shared folder, or paper scan. Put it into one owner-controlled intake list before anyone starts entering details. Give it a unique ID, received date, supplier name, invoice number, and link to the untouched source file so later reviewers can return to what actually arrived.
